Signs Your QuickBooks File Needs a Cleanup
QuickBooks is a great tool, but it’s only as reliable as what goes into it. Small mistakes compound over months until the reports stop meaning anything. Here are the most common warning signs — and what a cleanup actually involves.
1. Your QuickBooks bank balance doesn’t match your bank
This is the clearest sign. If the balance in QuickBooks and the balance on your bank statement don’t agree after accounting for timing, something is missing, duplicated or recorded wrong.
2. “Uncategorized” and “Ask My Accountant” keep growing
These holding accounts are meant to be temporary. When they carry large balances, a real chunk of your income or expenses isn’t being reported where it belongs — which distorts your profit.
3. You’re seeing duplicate transactions
Bank feeds are convenient, but it’s easy to add a transaction from the feed and enter it manually, or to import the same statement twice. Duplicates inflate expenses or income.
4. Paid invoices still show as open
If customers have paid but their invoices still show in your accounts receivable, payments were probably recorded as new income instead of being applied to the invoice. You end up overstating both income and what you’re owed.
5. Money is stuck in Undeposited Funds
Customer payments sit in Undeposited Funds (called Payments to Deposit in some newer versions of QuickBooks Online) until they’re matched to a bank deposit. A balance that keeps growing usually means deposits were recorded separately — another source of double-counted income.
6. Old items never clear in reconciliation
A few uncleared checks are normal. Transactions that have sat uncleared for many months usually point to errors or to reconciliations that were forced to balance.
7. Personal and business spending are mixed
Personal charges recorded as business expenses (or the reverse) make your numbers unreliable and create headaches at tax time.
8. You don’t trust the reports
Ultimately, this is the one that matters. If you look at your profit & loss and think “that can’t be right,” you’re probably right.
What a QuickBooks cleanup involves
- Review — diagnose what’s wrong and how far back it goes
- Structure — simplify the chart of accounts so it fits your business
- Correct — fix miscategorized transactions and remove duplicates
- Reconcile — tie every account back to its statements
- Prevent — set up bank rules and a routine so it stays clean
The goal is a file you — and your CPA — can trust again.
